Information you choose to provide

When you contact Keelfort, your name, business name, email address, optional phone number, location, support requirements and problem description may be used to respond, prepare an estimate, arrange support and keep appropriate business records.

Online enquiry delivery

When direct online submission is available, selecting Send request sends the details to Keelfort through FormSubmit, an email-delivery service. FormSubmit processes the enquiry and retains submissions for 30 days, as described in its documentation and privacy policy. The website does not keep a separate database copy of your enquiry text, email address or phone number.

To reduce abuse and duplicate emails, the website keeps a keyed hash of the request’s network address with an attempt counter, and a random request identifier with its delivery status. Rate-limit records expire after an hour and request records after 24 hours; expired records are removed during later submissions. These records do not contain enquiry contents or the raw network address. Hosting security logs are separate, as explained below.

Email preparation when online submission is unavailable

The fallback contact form prepares an email on your own device and does not submit the details to Keelfort or FormSubmit. If you choose Copy enquiry text, the prepared message is copied to your device’s clipboard. Keelfort receives it only when you send the email from your own email service. Keep copied details away from shared devices.

Sensitive information

Do not send passwords, PINs, payment-card details, recovery codes, one-time verification codes, employee records or customer files through an enquiry. If remote support is agreed, access should only begin with your permission.

Help Assistant

The website’s automated Support Guide matches questions to prepared responses inside your browser. It is not a person or live chat. It does not send questions to an artificial-intelligence service, create a Keelfort chat history or use advertising trackers.

Website hosting

The hosting provider may process technical information such as IP address, browser details and request logs for security, reliability and abuse prevention. Keelfort does not currently use advertising cookies on this website.

Sharing and retention

Information is not sold. It may be shared with a service provider where necessary to deliver support, meet a legal obligation or protect legitimate rights. Email and business records are retained only for as long as reasonably required for the purpose and applicable business obligations.
